Client Vault User Management
A client vault user is the person or organisation for whom services are being provided. As indicated earlier in these guides, it is possible for multiple users per client vault to be active within Safe4, subject to appropriate licencing arrangements.
The process for managing client vault users is very similar to that for provider users, as described in the appropriate section of the guides.
Inviting a New Client User
Enter the client vault from the provider’s client list, and select the Users item from the drop-down menu under View in the title bar at the top of the screen:
The same point can be reached by using the Actions menu alongside the vault on the provider home page:
In this instance a new user is to be invited for Anderson Brothers. From this screen the Users option is selected, bringing up the Manage Vault Users screen:
The Invite User button is selected, as shown above. This will initiate a process similar to that described for provider users in the previous section, with the significant difference that no system administration capabilities can be granted to client users. It is, however, possible to grant a client vault user the permission to invite other users into the specific vault in question. Further detail is given on this below:
After entering the first name, last name and email address of the users to be invited, click Next to go to the Permissions tab:
If it is necessary for this user to invite others, tick the box as shown above. Leaving the box unticked will mean that the invited user will not be able to invite others into the vault. For more information on the consequences of users being invited in this way, please refer to the appropriate section in the User Guide.
After deciding whether to allocate the permission to other users, click Next to go to the Groups tab:
At this point it is possible to select the security groups that you wish this user to be a member of. This selection can be altered at any stage by editing the settings for the user if necessary.
After assigning the required groups to the invited users, click Next to go to the Message tab:
A message may be entered at this stage. This will be incorporated within the text of the invitation email. When this has been entered, click OK to send the emails and issue the invitations.
Responding to an Invitation to Join Safe4 as a Client User
The recipient of the invitation of the email will receive an email within a few minutes. The email invitation is identical to that for provider users, described above.
For details on how to respond to the invitation, please refer to the “Becoming A Vault User” section in the Safe4 User Manual.
Cancelling or Re-Issuing User Invitations
It is possible to cancel or re-issue invitations to client / vault users of Safe4:
To re-issue the invitation, click on the envelope icon to the right of the pending invitation. To cancel the invitation, click the red cross. The security groups associated with the user can also be edited at this stage if required.
Editing Client / Vault Users
It is possible to edit the information stored by Safe4 against each client user account:
Groups can be assigned from this screen, in the same way as for provider users, and the user can be removed from the account by clicking the red cross alongside their name. It is also possible at this stage to use the Permissions tab to grant the ability for the vault user in question to invite other vault users.
After making any changes, click on OK to save the changes or Cancel to discard any alterations.
